Senior Executive Assistant

In this vital role you will provide comprehensive administrative and operational support to the leadership team in the Global Regulatory Affairs and Strategy department. This role requires a highly organized, proactive, and diligent professional to manage executive schedules, facilitate communication, oversee departmental activities, and ensure smooth operational functioning. The ideal candidate will serve as a trusted partner, enabling the leadership team to focus on strategic priorities.
Administrative Support:
Manage and optimize complex calendars, schedule meetings, and coordinate travel arrangements for executives.
Prepare and organize materials for internal and external meetings, including agendas, presentations, and reports.
Handle correspondence, including emails, memos, and phone communications on behalf of the executives.
Project Coordination:
Assist in planning, tracking, and driving departmental projects and initiatives.
Liaise with internal and external key collaborators to ensure timely and accurate communication.
Operations Management:
Manage expense reports, vendor invoices, and procurement requests.
Maintain departmental records, filing systems, and databases for compliance and operational efficiency.
Event Management:
Plan and organize team events, workshops, and off-site meetings.
Coordinate logistics, and technical requirements for events.
Confidentiality & Professionalism:
Handle sensitive and confidential information with utmost discretion.
Act as a gatekeeper to ensure alignment with the executives' priorities.

Basic Qualifications:
Bachelor’s degree and 0 to 3 years of directly related experience OR
Diploma and 4 to 7 years of directly related experience
Preferred Qualifications:
Must-Have Skills
Strong organizational and time-management skills with the ability to manage multiple priorities.
Exceptional attention to detail and accuracy in all deliverables.
Proficiency in managing executive calendars, travel, and correspondence.
Ability to work independently and proactively in a fast-paced environment.
Familiarity with global regulatory affairs processes is an advantage.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Teams, WebEx)
Good-to-Have Skills:
Knowledge of regulatory affairs and pharmaceutical industry terminology.
Experience working in a multinational environment with global teams.
Familiarity with project management tools and methodologies.
Basic understanding of compliance and data privacy requirements.
