What this job involves:

Do you work independently without close supervision? We can offer you an exciting role where you can use this passion to enhance your skills and play an important role in delivering consistent and qualitative Lease Administration Financial Management services for JLL Clients. You will be managing a team of individuals who work on Financial Management aspect of Lease Administration and their Supervisors/Assistant Managers/Managers. You will be acting as an Operations Lead for Financial Management and will be accountable for the operational delivery of your team members. At a high level you will be accountable for Operational delivery of Financial Management. A very high degree of independence is required on a day-to-day basis but will be responsible for the Lease Administration Deliveries. Manage administrative and recruitment matters in consultation. Act as the contact for interaction and escalations with the parties related to the delivery of Financial Management services. You will also have responsibility for directly working with the Head of Operations AMER to ensure continuous performance improvement and sharing best practices within the team and across all regional functions.


Highest qualitative delivery


You will be accountable for the work done by the Account Lead who manages client email boxes and document workflow to ensure Turn Around Time and responsiveness are maintained and met in a timely manner. Review as an Account Oversight (if required) the monthly reporting package which includes the critical date and portfolio summary reporting, Variance Reporting, and Payment Files in a timely and accurate manner. Assist in the transition of new accounts into JLL responsibly. This may include audits and process testing. Complete all duties with a focus on cost avoidance and Cost savings for our clients. Ensure our processes and procedures are maintained to ensure adherence to all internal and external compliance policies. Manage/perform ad hoc projects/tasks to ensure clear communication on progress and timely completion of all assigned tasks. Work closely with internal stakeholders to resolve any escalations and take corrective and preventive measures. As a team manager ensure operational activities are performed within the agreed and stipulated timelines. Actively encourage an environment that supports teamwork, cooperation, performance excellence, and personal success. You will act as a mentor and provide guidance when required to all members in the Gurgaon Lease Administration Centre


This position is responsible for managing all aspects of lease administration. This will include managing various teams of Lease Administration, portfolio reviews, management reporting, planning/ tracking and monitoring of all the resources in the JBS LA team. To be actively involved in performance metrics – KPIs i.e. Quality, TAT, and Productivity. Also, the focus would be on accurate abstractions and keeping the client database current.


Additional responsibilities


Contribute to team meetings, and actively support other team members. Maintain respect for other staff at all times. Regional business relations and stakeholder communication. Deliver excellent customer service. Build and develop effective relationships with key stakeholders and be comfortable communicating across all levels. Accountable for account staff (analysts, senior analysts, assistant managers, and Managers) who perform financial reviews and generate financial reports which include Variance Report, Rent Recommendation Report and/or flat files, Accounts Payable reports, Accounts Receivable reports, Aging Report, prepare monthly client invoices  (where applicable). Able to transition and implement start-up accounts independently. Able to provide solutions and strategies for client needs and concerns. Able to understand the balance between the scope of work, the client's want and needs, and the productivity required for profitability. Providing strong leadership to the reporting line and managing expectations within the team (performance, compensation and promotion). Other tasks as requested by management.

Impeccable expertise


We’re looking for University Graduates/Post Graduates (Commerce / Finance Background) or equivalent work experience in lease administration. A PMP / MBA degree is preferred. A minimum of 10-12 years’ industry experience required either in the corporate environment, third party service provider or as a consultant; Strong attention to detail; Knowledge of real estate leases and accounting would be useful; Demonstrated ability to maintain and manage accurate data; Demonstrated ability to prioritise work within tight operational and financial deadlines; Good interpersonal skills to operate as a pro-active member of a small core team; Positive approach to meeting clients’ needs; Experience in using a property management/lease administration system. Should be able to work with and report to multiple point of contacts and multiple projects at the same time. Strong team management and project management skills including project planning.


Requisite Skills


Communication – excellent written and verbal communication skills. Including but not limited to Interacting with Clients through Telephone calls, email communication and Virtual meetings (MS Teams, any other virtual platform). Responding to Client Queries in timely and professional manner. Crisis management/ escalation management – ability to de-escalate and conflict management. Strong Analytical, Strategic thinking, planning and high reliance on data. Problem-solving and decision-making abilities along with securing wider agreement on complex and contentious issues Expectation management – expert in negotiations, project management and performance reporting/ownership Long-term relationship building - able to go beyond duties to develop trust in the relationship. Collaboration/ coordination– ensure that delivery is integrated across teams, the single PoC for the client. Mastery in complex project leadership with expertise in cross-functional team collaboration including strategic initiatives. Once joined and trained, gain extensive knowledge and understanding of all Lease Admin Policies and their impact. Advanced skills in tools deployment and UAT and lead on development of new ways of working, improved processes and SOPs etc. Able to work with, and challenge stakeholders; able to represent JBS expertise to clients. Leadership skills: Role modeling and mentoring/coaching others to build a pipeline of future leaders.

You should possess sound computer skills in Microsoft Office (MS Excel, Outlook), Strong Project Management Skills, Excellent Verbal and Written Communication Skills, Strong organizational and interpersonal skills, Demonstrated ability manage a team and prioritise work within tight operational deadlines, Readiness to change, receptivity to new ideas, able to provide solutions and strategies for client needs and concerns when required, Attention to details, high degree of workplace ethics and integrity. Able to Demonstrate Resilience: Should be able to deal with day to day stress and effectively manage self and others’ emotions, Strategic Thinking and Networking: Develop workable solutions and strategies. Diligence:  Persistent in efforts, practice care and caution in job with solution-oriented approach.
