Duties & responsibilities


  • ·Apartment selection through empaneled brokers as per preferred location of the Expat HSSE assessment electrical, fire audits and safety checks for the apartment and building with an external vendor
  • Co-ordinating rent negotiation and registered Leave and License agreement.
  • List of assets and white goods included in LOI
  • HSSE mandatory requirements like Fire extinguishers, smoke detectors and fire blankets provided.
  • Liaison with Logistic or Move management agency for Air cargo or Shipment
  • Coordination with IT team at BKC office for IT requirements or assets, Wi-Fi.
  • Look See visits and City familiarization on request
  • Check on Citi Card, Club Membership, Office access card and company vehicle with DDT trained driver
  • Assist in sourcing Domestic Help and getting the Health Checks done (through references if possible)
  • Expat Data to be updated on SharePoint.
  • Expat apartment L& L agreements tracker
  • Liaising with Expat for complaint resolution
  • Activity Tracker for complaints and resolution with timelines to be maintained
  • Coordinate with service partners for the services
  • Getting comparative quotes for activities exceeding 1K
  • Supervise vendor activities personally at the expat apartments
  • Check for AMC of equipment’s as applicable,
  • Consolidated Monthly Invoice to be checked/ verified along with cost approvals of Admin Manager
  • Invoice tracker to maintained in share point
  • Coordinate with PM teams for the residential societies.
  • Track payments for Expat apartment utilities
  • Pest control of apartments
  • Deep cleaning of apartments as required
  • Repairs and maintenance
  • Notice to Landlord for closure of the Tenancy agreement.
  • Inspection of the apartment prior to Expats departure
  • Checklist to be updated and Verification of bp and Landlord assets completed
  • List of assets and white goods included in LOI tallied and checked for damage or snags
  • HSSE mandatory requirements like Fire extinguishers, smoke detectors and fire blankets provided need to be listed and returned to Office
  • Liaison with Logistic or Move management agency for Air cargo or Shipment as required
  • IT requirements or assets, Wi-Fi handed over to IT team at BKC office
  • Citi Card, Club Membership, Office access card to be returned to office
  • Closeout of apartment handover with landlord or representative post repatriation,
  • Coordination with landlord or PM team for snags rectification or cost estimate for repairs prior to handover
  • Refund of Security deposit.
  • Final meter readings to be taken for Electricity meters, gas consumption, broadband , Wi-Fi and landline phones and surrender to the agency if provided by BP
  • Keys Handing over to the Landlord
  • Repatriation Checklist to be updated,

  • Candidate should have 10-15 years’ experience in Facilities Management industry into expat management.

First things first, your chief concern is to ensure a safer and more comfortable work environment to work in and visit. Part of the checklist you will run through are to plan and execute all preparations needed for meetings and conferences with clients and VIP visits. Likewise, the mailroom, front office and housekeeping all fall into your realm.


Being dedicated to great results


You should be mobile and capable of working anywhere because you will perform daily check-ins around the front office and lobby to ensure high standards. Whatever mix-ups or jams that you spot, you should be quick to figure out the best repairs. Your input and ideas will be sought to help steer the team in directions that help make the facility perform at its best.


A typical day for you also involves contact with vendors—reviewing their services and coordinating with them for the resolution of any service issues.

Core facilities management skills


If you’re a graduate in any discipline, you will most likely to qualify for this role. You should also have 5-7 years of experience in facilities management. It would be great if you have tertiary qualifications in hotel management, building management and/or business.  


Outstanding team prowess


Are you equipped to set up a team to success? Can you also play to your strengths and work effectively as a team member? If yes, that’s great—the ability to bring about positive changes and follow through with them will come in handy for this role.
