Job Purpose:


This role is part of a key team within the Global Middle Office Change and Implementations functions, providing Programme Management Office (PMO) support to global implementation and change programmes and initiatives.


Working as part of the Programme Management Office, the individual will provide a range of support services to programme managers and programme resources throughout the delivery lifecycle, including book of work maintenance, work intake management, resource tracking, RAID management, reporting and MI.  In addition, the individual will work with colleagues within the PMO on the governance and compliance of implementations and change initiatives with Citi procedures.


The successful candidate should have a strong administration background in a PMO, control or audit environment, be flexible and enjoy a challenge.


Job Background/context:


Securities Services Operations services multiple products, including Funds Administration, Middle Office and Global Custody.  This role is within Middle Office Operations, as a member of the Programme Management Office team.


The Programme Management Office is a key team within Global Middle Office Operations, responsible for all control, governance and readiness activities associated with the delivery of client change, client onboarding and internal change initiatives.   


The department works with stakeholders from our Clients and across the Citi business world, including Implementations, Client Change Delivery, Change Management, Technology and Product, to ensure that the execution of client onboarding and delivery of client and internal change is continually improving.


Key Responsibilities:


Responsibilities and priorities will reflect the needs of the specific programme / initiatives and will evolve over time, however, the following are some of the specific activities expected of this role:


  • Co-ordinate PMO processes across the Middle Office Change and Implementations book of work, ensuring adherence to Citi Program and Project Management procedures
  • Effectively partner with programme and project managers to collate and produce materials for relevant program governance forums, and to ensure timely and high quality updates to the Middle Office Implementations and Change portfolio of projects and initiatives
  • Record meeting summaries and follow-up actions for distribution to relevant stakeholders
  • Monitor and manage risks and resource challenges whilst escalating to senior management as required
  • Support programme and project managers across multiple locations in understanding governance and control requirements for implementations and change initiatives
  • Complete peer reviews of project artefacts and perform post implementation reviews of project governance to ensure compliance with Citi Program and Project Management procedures
  • Respond to changes in governance requirements and manage end to end implementation of changes across implementations and change functions, including procedural updates and training as necessary
  • Presentation at programme steering committees and governance forums as required
  • Utilise proficient Microsoft Office skills to provide effective reporting and documentation including dashboards and scorecards

Person Specification


Knowledge/Experience:


  • Experience in a Programme Management Office and/or Change Management area
  • Minimum 8 years experience in the similar role
  • Experience of working in a fast-paced and demanding environment

Skills:


  • Effective interpersonal and communication skills.
  • Project management skills / knowledge of project management principles and best practices.
  • Excellent time management skills and the ability to adapt to change.
  • Strong problem solving and analytical skills.
  • Strong organizational skills, attention to detail, and the ability to multi-task
  • Excellent knowledge of MS Office tools
  • Experience of Project Management tools advantageous
  • Ability to prioritize and schedule tasks and work in a team environment
  • Self-sufficient and reliable, ability and willingness to learn new tools

Qualifications:


  • Audit or Governance type qualifications advantageous
  • Exceptional candidates who do not meet these criteria may be considered for the role provided they have the necessary skills and experience
