QUALIFICATIONS
- A bachelor's degree is preferred
- 8+ years of experience in the field of transport operations, managed external worker / third party resources, ideally in a professional services environment
- Experience in team management, vendor management, and escalation resolution
- Proficiency in the MS Office Suite is required, and familiarity with tools such as MoveInSync, PowerBI, Qualtrics, Tableau, and Miro will be beneficial
- Exposure in travel management would be added advantage
- Must exhibit a proactive attitude, adaptability, and creativity in problem-solving
- Excellent written and oral communication skills
- Strong independent work capability, minimal supervision required, resourceful with a strong desire to learn and advance
- Experience in managing Excel reports and analyzing trends will be a critical skill
- This role may require working in shifts and being on-call to address any urgent transport issues

WHO YOU'LL WORK WITH
As a valued member of the McKinsey Global Capabilities & Services (MGCS) Office Services Team, you will serve as a Office Services Coordinator based at our Bengaluru Center office. You will collaborate with office services team members across various McKinsey centers within India, working closely with leaders and colleagues from different service lines, including HR, Finance, recruitment, legal, and external COE teams. Your role will foster a cohesive and efficient work environment by ensuring seamless coordination across these diverse teams.
In your capacity as a Office Services Coordinator, you will lead a diverse team comprising internal staff and third-party vendors. Your expertise will ensure seamless collaboration to achieve operational goals. You will interact with new joiners, providing them with essential onboarding information and support. Regular communication with vendors will be crucial to ensure timely deployment and adherence to schedules. Additionally, you will liaise with other departments to provide logistical support for internal and external events, ensuring the smooth execution of all transport-related activities.
WHAT YOU'LL DO
In this dynamic role, you will oversee a wide range of office services to ensure the optimal functioning of our Bengaluru Center office. As part of the McKinsey Global Capabilities & Services (MGCS), an internal service line of McKinsey & Company, you will report to the Manager of Office Services responsible for Location Management functions.
As a Office Services Coordinator in transport team, you will manage the entire transport operation, ensuring efficiency and punctuality in all activities. This includes handling daily shift schedules, generating routes for employee login and logout, and closely monitoring daily transport operations to ensure compliance with company policies. You will follow up with vendors to guarantee on-time deployment, arrival, and departure of vehicles. Additionally, you will manage the induction process for new vehicles, ensuring they meet company standards and are ready for deployment. Your role will also involve creating profiles for new joiners, briefing them on the usage of Moveinsync, and informing them about the cut-off times for updating shifts. Expertise in billing activities for the entire location and consolidating MIS data will be essential, along with the responsibility for creating Monthly Management Reports (MMR) that detail location-specific transport data metrics.
In this role, you will handle transport-related communications, including checking and actioning emails, and managing the transport helpdesk to resolve queries and provide timely assistance. Monitoring transport helpdesk emails and maintaining an issue tracker with resolutions will be a key part of your responsibilities. You will be responsible for providing SLA trackers, transport issue trackers, and vehicle accident and incident reports. Additionally, you will oversee the drop-off process to ensure all employees are dropped off safely and on time and female safe drop confirmation. Arranging cabs for airport transfers and providing logistical support for internal and external events will also be part of your responsibilities. You will lead the vendor performance metrics as per SLA and KPIs, ensuring that all transport operations run smoothly and efficiently. Maintaining high standards of service through regular briefing sessions for vendors and drivers will be essential.
