In Regards to Vendor Management: -


  • Vendor Set up & Registration process
  • Handling Vendor queries in regards to PO’s, Payments, and Invoices
  • Processing the Vendor Invoices
  • Tracking the vendors Purchase Orders
  • Invoice tracker & Payment follow up.

Pertain to MIS work, collating the details of all Bangalore location branches in terms of the following data: -


  • JLL & Sub Vendor Manpower details (Present & Resigned staffs Head count)
  • Monthly Required Indent in terms of Drinking Water Jar, Hot Beverages, Cold Beverages, Toiletries.
  • Staff Attrition Data
  • Lap top & data card details.

Update the Open PO’s & Invoice tracker day to day basis. Handing JLL Staff Mobile Claims (PAN INDIA) all entities HSBC Locations. Handling Petty cash / Travel Expenses for GR Pan sites. Preparing the POR (Purchase Order request) based on approved vendor quote, SCM reviewed & Client approved. Preparing & Issuing the Work Authorization letter for the new vendor in order to start the service, until the registration process is completed. Handing Adhoc / AMC / Quaterly PO’s, in terms of renewal & tracking the vendor continuation of services. Compliance of Tax Invoices, Debit Note & Credit Note Invoices. Follow up the Audit documents from Compliance team & attend the JLL Audit & also HSBC Quarterly Audit to achieve the 100% scoring. Follow up the No Due Certificate from the Vendors on Quarterly basis. Co-ordinate with finance / procurement team on various queries and concerns to address vendor related concerns. Sending Payment Advices to vendor Partners post release in our system. Finance Co-ordination in getting rejected / E-way / Fresh invoices for processing in our system. Updating monthly Labor Allocation File for our Bangalore site employees on capturing LOP/Termination & Absconding cases. Co-ordination with our IT / Admin team for booking cab’s, accommodation for JLL VIP visits for Bangalore location. Attending into Conference calls by giving constructive inputs with our regional finance / sourcing team in closing the outstanding payments to Bangalore GR sites. Co-ordination with finance for new site BU / Location / SMM code creations also mapping employees in PS for the billing purpose. Handling calls with vendor partners in order to supply & provide the details on urgent Client requirements for the respective sites. Assisting FM for the new sites which are going live for the operation requirement to start-up smooth operations at sites.
