About the Role:
The Legal Operations Specialist joins CrowdStrike’s award winning Legal Operations Team, focused on supporting the global legal organization through an innovative combination of people, process and technology solutions. This role reports to the Sr. Manager of Legal Operations with primary responsibility over eBilling, vendor management and internal knowledge management efforts.
What You’ll Do:
eBilling and Spend Management:
Manage invoice processing including first-level invoice review to ensure compliance with Outside Counsel Billing Guidelines.
Monitor and analyze invoice rejections, submission accuracy, and timeliness,
Answer law firm and vendor queries regarding invoices and payments
Collaborate with in-house counsel to track and resolve invoice disputes in a timely manner
Monitor and reconcile invoices between e-billing and AP systems to ensure timely processing
Identify and execute opportunities for savings and efficiencies.
Manage the day-to-day operation of the eBilling system including access for internal and external users, create and provide training modules
Matter Management:
Assist with data analysis and develop reports and visual summaries
Ensure matter engagement letter compliance
Create and close matters
Act as primary contact for all matter management issues with law firms and vendors
Vendor Management:
Serve as primary Point-of-Contact for all law firm and vendor queries regarding invoices and payments
Manage on-boarding all new vendors from a financial perspective (setting up as Vendor with AP; setting up for payment via ACH, add to department resources, etc.)
Develop a playbook of fee arrangements, hourly rates, etc. to serve as a resource when auditing portfolio of outside counsel/vendors
Oversee timekeeper management, including new timekeeper requests and approvals reviews
Assist with monthly accrual and forecast process to ensure that the department’s spend aligns with the budget
General:
Assist with ad-hoc projects and general administrative support across all Legal teams
Assist with building and maintaining spend dashboard
What You'll Need:
5+ years of experience in legal operations, e-billing, or a related role.
Must have experience with eBilling system (e.g., SimpleLegal, Legal Tracker, TeamConnect) matter management, databases, data mining and analytical software tools
Must have advanced Excel skills (i.e., Formulas, Pivot Charts, Pivot Tables, Formatting, etc.)
Possess deep understanding of AP and Finance principles and ensuring compliance with legal billing guidelines
Understanding of common alternative fee arrangements (e.g., fixed fees, fee caps, volume discounts)
Intellectually curious with ability to process a great deal of information in a fast-paced environment; willing to take initiative
Demonstrate integrity to manage sensitive and confidential information
Ability to present complex information in an accurate and persuasive manner to all levels of management
Must have strong client service orientation and demonstrated high level of customer focus, independence and initiative
Must be very organized and have a high level of attention to detail
Able to work independently and as a team player who can easily handle shifting priorities, multi-tasking in a deadline-oriented environment
Excellent interpersonal and communication skills
Must have excellent written and verbal communications skills
Must have excellent analytical skills and comfort with multiple data sets, with the ability to draw conclusions and make informed recommendations
Experience with reporting tools a plus (e.g. Tableau, Business Objects, Cognos)
