What is the Lead Portfolio Admin Ops Analyst - Portfolio Administration – FTS Institutional Services group responsible for?
  • The position of a Lead Portfolio Admin Ops Analyst will be responsible for performing multiple client specific orientated tasks and delivery of service to a variety of external/internal clients and business partners including Sales/Marketing, Portfolio Management, Trading, Performance and Client Services. The position will be primarily responsible for providing client service to these groups for all inquiries as well as account governance/ownership, complex/custom reporting and events support Institutional Accounts. In addition, actively manage relationships with these teams, change/improve processes as service requires and proactively manage solutions to client needs due to trends and increasing customization. This role involves coordinating back office operational endeavors to provide premiere and seamless client service to internal and external clients and actively managing communication throughout all spectrums of the job #MID_SENIOR_LEVEL


What are the ongoing responsibilities of the Lead Portfolio Admin Ops Analyst?

Account Governance / Ownership:


  • Good overall understanding of internal/external clients and relationships


  • Take ownership of assigned portfolios on behalf of FTS and monitor daily e-mails to ensure all inquiries are responded to with accurate and timely resolution/service to end clients.


  • Drive for solutions by proactively trouble shooting along with collaboration with other various key individuals/groups globally.


  • Seek to understand and maintain knowledge of client account activities and teams/functions responsible for those activities with aim to identify potential risks of operational issues impacting client experience


  • System/account validation and maintenance oversight


  • Daily Period Closure transactions monitoring for materiality and to assess month-end reruns requirements


  • Involved in production of complex reports (e.g. Regulatory reporting)


  • Involved in compilation and creation of new and complex client reports prior to transition to report production team


  • Gain knowledge and understanding of new accounts operational requirements


  • Participate and provide inputs for Custodian Service review calls


  • Partnering with the Events Representative for account handover to support onboarding/offboarding of Client accounts


  • Gain knowledge and understanding of new accounts operational requirements


  • Manages communication with appropriate stakeholders


Client Service Support:


  • Engage internal/external clients and business partners to access product delivery and potential process changes.


  • Act as a conduit for all inquiries to build strong relationships with internal/external clients and business partners.


  • Act as point of contact for client service-related questions/issues and assist in tracking issues through to resolution.


  • Prepare and participate in client requested ad hoc meetings including Due Diligence meetings


Projects Initiatives & Events:


  • Actively participate in Global Improvement and corporate commitment initiatives, Business Continuity testing, system user enhancement testing and Complex Securities Review meetings.


  • Other projects assigned by management.


  • Aid in staff cross-training and procedure manuals.


  • Provide support for on-boarding activities including participating client/custodian meetings.


  • System/account maintenance for changes resulting from events


Reporting:


  • Deliver requested complex/custom reports.


  • Provide Performance Reports


  • Track and compile queries/issues for statistical reporting to management.


What ideal qualifications, skills & experience would help someone to be successful?
  • High School Diploma and at least three years of investment industry experience required


  • Bachelor’s Degree in Business, Accounting or Finance preferred


  • Sound knowledge of investment industry accounting principles, terminology, financial markets, security types and corporate action types


  • Good presentation skills and ability to interact with all business partners and management


  • Able to work with end users to identify potential issues and high risk items


  • Build and maintain good relationships with clients and business partners


  • Good organizational skills and the ability to prioritize own workloads


  • Good verbal and written communication skills


  • Detailed oriented and good analytical skills


  • Proficiency with Microsoft Office application, SimCorp Dimension
