Main Purpose of Job 


The purpose of this important role is to support the procurement activities in the assigned region - APAC. The key focus area will be to support the Regional Procurement Teams in implementing the global procurement strategy by ensuring adherence to purchasing policies and procedures, leading negotiations and preparation of contracts renewal with regional vendors and supporting to execute effective vendor management program including supply chain risk management thru collation of audit results and vendor qualification documents. 


This includes the uploading of contracts and management of vendor’s documents in the SCRM software application, and providing support to the Global Strategic Sourcing team where required. 


 This role requires attention to details, negotiations, effective communication skills, independent multi-tasking team player. The person will be part of the Regional Procurement Team and will have direct interaction with internal stakeholders and vendors across the region. 


Key Accountabilities 


  • Lead negotiations with vendors and partner agents across specific direct spend categories such as towage, transport, hotels, launches etc, and assist with indirect spent when required. 
  • Work closely with the Regional Procurement and Procurement Support teams to ensure timely contract renewals. 
  • Work closely with Regional Procurement Manager and analysts in Mumbai to ensure the proactive and secure management of procurement data, contracts and other documentation in the SCRM software application. 
  • Track and update the regional direct and indirect savings and provide reports on performance/spend/ vendors savings on monthly basis and market intelligence reports where required. 
  • Support colleagues to ensure the regional vendor database is up to date. Ensure assigned objectives and KPI’s are achieved, and a consistently high level of service is deliver to internal stakeholders and Inchcape customers. Assist in collection of vendor documents and ensure documents are uploaded and updated in timely manner on the SCRM system, (including tariffs, contracts, service level agreements, codes of conduct, audit & compliance reports and licences/certification, archiving of all expired vendor/agreement information.) 
    Provide the necessary support to Regional Procurement Managers and other stakeholders in the business. 
  • To ensure the strategic sourcing and vendor management strategies, policies, processes, and tools are implemented and aligned throughout the region, and to provide the necessary guidance, support and advice to local managers and operations staff. 
  • Manage the regional vendor database within the Inchcape controlled framework, ensuring effective consolidation, business performance and governance. 
  • Proactive monitoring of data within the SCRM application to avoid conflicts with master data and other ISS applications. 
  • Point of contact for Procurement with the Master Data team in India for ad-hoc reporting requirements. 
  • Ensure timely audits of vendors and sub-agents, logging of results and closing out of applicable actions. 
  • To manage timely audits of key vendors and partner agents.  
  • Ensure consistent and effective supply chain risk management across the region, including logging and resolving vendor issues, service failures, etc. 
  • Educate vendors on the Inchcape business and the Company’s requirements, policies and terms and conditions. 
  • Register contracts and mandatory documentation in the contract management application and initiate the e-signature process in accordance with the Group Authority Matrix. 
  • Provide support to vendor related enquiries from other departments to place Inchcape in position to compete for new business and new market directions. 
  • Perform market research to identify new vendor and contribute ideas for new revenue opportunities. 
  • Support colleagues to ensure the regional vendor database is up to date. 
  • Any other duties as required by the Head of Regional Procurement. 
  • Ensure assigned objectives and KPI’s are achieved, and a consistently high level of service is deliver to internal stakeholders and Inchcape customers. 
  • Assist to provide analytics support – graph / analysis on reports / prepare powerpoint slides 

HSSE - Health, Safety, Security and Risk (Mandatory Requirements) 


  • Assessing HSSE risk and implementing risk controls within own area of responsibility. 
  • Reporting all accidents, incidents and near misses whether the persons are injured or not. 
  • Taking actions within area of accountability to ensure the HSSE of both the job holder and other persons who may be affected by acts carried out or failed to be carried out by the job holder while at work. 
  • Ensuring full compliance with the ISS HSSE Management System. 

The candidate will carry out any other duties within the scope and purpose of the job as requested by the Line Manager and ensure full utilization of all ISS systems according to Standard Operating Procedures. 


Knowledge, Experience & Skills 


Essential


  • Strong Negotiation Skills 
  • Knowledge and experience of contract management or process management 
  • Excellent communication skills and the ability to build relationships with key stakeholders and customers across multiple countries and cultures 
  • Self-starter and an innovative mindset 
  • Ability to work under minimum supervision 
  • Strong ethical values and knowledge of supply chain governance and compliance 
  • Excellent written and spoken English 

Desirable 


  • Experience in, or good understanding of, marine port agency 
  • Ability to speak other languages would be an advantage. 
  • Experience in large scale, complex, global service organisation.
