We are looking for a highly organized and professional Admin cum Receptionist with 3-4 years of experience to manage our front desk and provide administrative support across various departments. The successful candidate will ensure smooth office operations by managing reception duties, coordinating administrative activities, and maintaining office environments. This role is critical in ensuring that office procedures run efficiently and that visitors and employees experience a well-managed office environment.


Key Responsibilities:


  • Reception Management:
    Manage the reception area to ensure it is presentable, welcoming, and well-maintained.
  • Front-Desk Coordination:
    Coordinate front-desk activities, including handling incoming and outgoing correspondence and managing courier services.
  • Office Maintenance:
    Coordinate with facility management to maintain a clean, safe, and operational office environment.
  • Event & Travel Coordination:
    Assist in organizing company travel bookings, events, conferences, and training sessions, ensuring all arrangements are smoothly executed.
  • Vendor Management:
    Maintain and negotiate vendor relationships, manage contracts and service agreements for facilities such as cleaning, security, and office supplies.
  • Meeting and Appointment Scheduling:
    Organize and schedule meetings, appointments, and office events, ensuring efficient use of office space and resources.
  • Inventory Management:
    Maintain office supplies inventory, ensuring timely reordering and availability of essential materials.
  • Administrative Support:
    Assist in preparing reports, presentations, and other necessary documentation for internal and external use.
  • HR and Departmental Support:
    Support HR and other departments in onboarding new employees, managing calendars, and coordinating travel arrangements.
  • Visitor and Inquiry Handling:
    Handle inquiries, provide accurate information, and direct visitors or callers to the appropriate contacts in a professional manner.
