Job Description:
Role: Factory Admin Lead
Business Unit: Mars Wrigley India
Location: Pune, India
Key Responsibilities:
Management of Labour Compliances
Adherence to Working hours Policy , Overtime policy, Weekly Off , Holidays etc in due adherence to statutory compliance as per State of Maharashtra
Statutory Returns filing as per defined Labour Laws
Managing Site inspection w.r.to Government Authorities visit pertaining Office of Labour, PF, ESIC, Security Guard Board and Mathadi Board etc
Contract Labour Management- Lifecycle Management of Contractor Manpower with the help of Contractors, Bills processing of Contractors after due compliance check of statutory record(Form 16, Form 17 etc), Minimum Wages, and statutory deductions/contributions
Labour Laws Compliance Audit of Contractor Apprenticeship engagement under NAPS Scheme through TPA
Payroll Management
Cross-checking of Leave, Salary, Statutory contribution (PF,ESIC, etc) details of on roll Associates
Monthly attendance input to Payroll Specialist for the purpose of Salary Computation
Maintenance of Monthly Payroll Register, Leave register, Manpower details and related MIS at Plant Level
Facility Management
Responsible for smooth operation of Canteen , Transport Vehicle Management , and Uniform Change Room with the help of Sodexo.
PPE Management for Associates & Visitors
Monthly Audit of services extended by Sodexo pertaining to Canteen, Transport, Security and Housekeeping.
Associate Engagement and Connect
Extending Admin support to action items of Committees (Canteen, Transport,& Cultural) constituted in the factory
Management of Celebration activities pertaining to Associate Birthday, Farewell, Long Service Award, R&R Event, Family day connect etc
Grievance Management which includes record keeping of Grievance and issue resolution details in due consultation with stakeholders
Onboarding Support for associates in terms of ensuring joining formalities, issuance of I-Card, Business cards, Travel portal Login ,etc
Supporting site based reward and recognition initiatives
Budget Management and PR/PO Management
Monitoring of Budget vs Actual and work within the allocated budget
PR/PO management basis the planned activities within the guardrails of allocated Budget
Responsible for bringing In Cost optimization initiatives in the area of Admin by partnering in cost optimization projects pertaining to Admin
Visitor Management- Managing the requirements during the planned visits at the site
Support facilities related Audit Requirements for HSE , QMP, FSSAI & RWA
Support the plant manager with all factory related communication related to Associate
Maintenance of personnel files of Associates for factory based associates
Lead Projects related to Associate’s safety, health and wellness in due guidance of HSE Manager of Site
Job Specifications/Qualifications:
Preferred qualification: University degree or equivalent, preferably in in Labor/Industrial Relations with 3 to 4 years in factory administration.
Or 7 to 10 years’ experience in handling factory administration & Labor relations
Ability to interact and develop relationships with all levels of associates, including senior management, to influence desired outcomes
Strong communication, written and interpersonal skill
Have fundamental understanding of Labour laws applicable to State of Maharashtra like Factories Act, CLRA Act, Private Security Guard Act, Mathadi, etc
Strong analytical, problem-solving, and decision making skills
Conflict management skills
