Responsibilities:


  • Monitor and Action Requests
  • Regularly monitor and respond to requests made in the project team’s shared email mailbox.
  • Working directly with project teams coordinating and transmitting deliverables to clients in time -a sensitive manner.
  • Working directly with clients and project teams to ensure that contractual requirements are met for document management including document submission, numbering, tracking, storage, and quality assurance.
  • Knowledge of Document Control Tools
  • Must have knowledge of related Document control tools such as SharePoint, Aconex, etc.
  • Provide administrative support as required for document management tools and managing access and permissions accordingly.
  • Maintenance of Documentation Platforms: Maintain the Doc Control Miro board, ensuring it is up-to-date and organized.
  • Manage the SharePoint Common Data Environment (CDE) site, including folder structures and permissions, to ensure effective document management and accessibility.
  • Ensure all the project deliverables are uploaded and tracked and all metadata requirements are captured, assign document numbers, as required.
  • Attend various weekly/bi-weekly project meetings to represent the document control function.
  • Continuous Process Improvement: Ensuring the quality check and review processes for all the document submissions are being completed and adhered to by the project team
  • Troubleshooting and resolving document control queries raised by team members
  • Identify areas for improvement, propose solutions, and implement changes to optimize efficiency and accuracy

Candidate Specification:


  • Proven 3-5 years' experience as a document controller or in a similar role.
  • Bachelor's degree in a relevant field or equivalent work experience.
  • Strong knowledge of document control procedures and best practices.
  • Proficiency in using Microsoft Excel, PP, Outlook, SharePoint, Aconex and other document management systems.
  • Familiarity with automated document control tools is highly desirable.
  • Excellent organizational skills with high attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to train and educate team members effectively.
  • Analytical mindset with a focus on continuous improvement.
  • Proactive, self-motivated, and able to work independently.
