Distribution Specialist

About Role


Responsibilities include managing journal back issue supplier operations, US postal services liaison, second line support for delivery queries, improving timeliness of order fulfilment, subject matter expert on projects related to journal print fulfilment, driving zero warehousing initiatives.


Your responsibilities:


Distribution Process management: Manage and monitor processes for journal distribution from US warehouse, UK warehouse, Netherlands warehouse, US/UK/NL based Print On Demand(POD) printer, UK / Netherlands and Singapore based Initial Dispatch printers, UK and Singapore based mail vendors, Philippines based Out Of Print Library(OOPL) / archive.
Set up, manage and monitor exception processes such as:
- Major Trade / High Claim Customer outsort / consolidated despatch;
- split label runs;
- regional disparities in advertising and legal restrictions;
- late label files;
- bulk despatches;
- time sensitive shipments;
- exhibition orders.
Prepare and coordinate Statement of Ownership (SOO’s) documents with Journal Management, publishers and USPS annually. Manage USPS periodicals permits and EPS account.
 
Control Distribution procedures, ensure supplier follow prescribed procedures, periodically audit compliance. Maintain local repository of Standard Operating Procedures and ensure documentation is up to date.
Act as subject matter expert for journal distribution in rapid improvement events, workshops, projects and programs.
Perform monthly audit of journal initial distribution by auditing mail vendor shipping reports against shipping confirmation in fulfilment system to support monthly journal financial revenue reconciliation. Act as gatekeeper to ensure fulfilment system is updated with correct mail dates - for both SoX control and data integrity.
Ensure POD vendors perform to agreed KPIs for print and distribution of POD orders journals. collaborate with RCO-Ops and EW teams to help resolve problem cases raised by vendor in a timely manner.
 


Support onboarding of new journals/selling off of existing portfolio. As subject matter expert, advise publishing and product maintenance on the actions required to be completed for setting up a new journal to be fulfilled out of Delta; cross-check if the records for new journal are set up correctly per spec once the title records have been created.
Manage back inventory transfers when journals are transferred to a new publisher upon divestment/manage incoming inventory transfers when a new journal is acquired by Elsevier: Provide cost and time estimates to Publishing for stock move. Agree with Publishing on the responsibilities around stock move.
organize freight carrier for stock move when necessary. 


Journal Stock & print run control: Monitor warehouse inbound quantities per title and actively advise the journals' publisher to adjust print runs in line with on & off system subscriber numbers.
Analyse cancelled and short picked order reports. Check on a fortnightly basis whether stock is depleted, excessive or orders have been short picked and take appropriate action (initiate reprint, initiate rekeying of backorders, advise reduction / increase of print run).
Run a weekly stock reconciliation between the data on warehouse management system and the Elsevier fulfilment system. Investigate discrepancies and make necessary adjustments in the Elsevier fulfilment system.
Arrange quarterly shipments of consolidated archiving orders for Philippines based Out Of Print Library(OOPL) and facilitate ordering of OOPL copies.
Review print runs vs printing technology and advise (non-technical) for potential transfer from:
- Litho to Inkjet / HP digital printing workflow;
- Inkjet / HP digital to Print On Demand workflow;
Advise on print run quantities if/when titles are reversed from Print on demand back to Print To Stock workflow.
Arrange seasonal pulp orders based on Elsevier's retention policy;
Drive  zero warehousing, work with IT support and journal manufacturing to enable  Print on Demand production of all subsequent prints for journals.
Monitor ZW Issue-Specific Removal requests and notify warehouse of incoming product


Queries & claims management: Manage exceptions arising out of journal shipments; Manage email queries daily via the Distribution Control mailbox (i.e. tracking information, inventory queries, provide reports etc.)
Advise journal publishing, production and marketing colleagues on special requirements for shipping across customs regions.
Monitor claims processed by customer services through periodic reporting, flag inappropriate volumes of claims, repetitive claims on undeliverable shipments, work with OR&F colleagues to reduce claims.
Provide and maintain self-help tools for customer services to answer queries related to order fulfilment
Act as advisor on any other ad hoc queries related to shipping, packaging etc.
  Manage invoice payments and reporting: Audit and approve invoices/Payrun from invoice audit supplier. Manage exceptions arising out of invoice audit.  Record freight spend per carrier data, report anomalies in spend. Ensure suppliers are paid on time.
Gather and maintain data on journal distribution such as volumes distributed per journal, per region per supplier. Responsible for providing journal distribution related data for  projects, budgeting etc.


Shift : 2PM to 11PM (Monday to Friday)
