The position
As a key member of our team, you will be responsible for a variety of secretarial and administrative tasks, ensuring smooth operations within the GLIPS-GBS department. Your main responsibilities will include handling all secretarial functions in GLIPS-GBS departments. Manage the fire safe locker, ensuring the security and proper handling of sensitive and valuable documents and items. Coordinate/arrange visits to GLIPS-GBS departments made by NN visitors from abroad.
Assist Director/Manager with all tasks associated with onboarding new employees. Administer training plans for new employees in collaboration with the Training Coordinator. Assist GLIPS-GBS dept with arranging travel, hotel, couriering, pre and post-travel paperwork, etc. Handle administrative tasks using electronic systems such as Coupa and Concur. Act as the central point of contact for all communications within the Global Business Services (GBS) department. Handle various ad hoc queries that arise within the team related to IT, Concur, travel, and policy. Assist with the approval process of ICE invoices by reviewing and processing them for LOB’s approval. Coordinate with the vendor regarding invoices and work on completing all outstanding Goods Received Notes (GRNs).


  • Plan and execute department events and offsite activities, including team-building exercises, workshops, and social gatherings. Manage logistics for various department needs, including airport transfers and transportation for guests.


  • Book departmental/team meetings, recurring 1-1 meetings, etc. Make minutes for GL-GBS & CIP-GBS monthly department meetings.


  • Raise purchase order requests in Coupa for the department’s needs, perform Goods Received Notes (GRNs), and ensure the submission of invoices in a timely manner.


  • Manage the IT asset inventory for GLIP-GBS.


  • Handle visa processes and currency advance/surrender processes for employees. Coordinate with dept staff for periodic disposal of confidential documents.


Qualifications
We are looking for a candidate who possesses the following qualifications:


  • A graduate degree in any discipline.


  • Experience handling various types of general office secretarial and/or administrative responsibilities.


  • Good hands-on experience with MS Office, Word processing, and MS Outlook software.


  • Effective written and spoken English language skills.


  • Strong coordination and multi-tasking skills.


  • Demonstrates good work planning skills.


  • Personal drive and initiative.


  • Ability to prioritise tasks by coordinating effectively with the Director/managers and dept members.


  • Maturity and composure to handle pressure situations.


  • Pleasant, service-minded personality; being proactive, capable of multitasking, and enjoying interacting with people.


  • Ability to keep an overview and follow up continuously on the process/activity undertaken.
