Purpose of the Job:
This position will report directly into the LCCI Hyderabad site leader and be responsible for the digital enablement of end-to-end Administration, Facilities and Health, Safety and Environment objectives for the LCCI Hyderabad site. The incumbent will be accountable for Central Facilities Management, Space Management, Security, General Administration, Admin and HSE Policy Formulation, Process Improvements, Infrastructure Development, Annual Budgeting and Cost Control, Maintenance Contracts, Vendor Management, Real Estate And Lease Agreements, Oversee Housekeeping, Cafeteria And Food Services, Environment Safety, Transport, Company Events, Compliance and Audits. This position will work very closely with HR and Finance amongst other stakeholders.
Responsibilities:
Facility Maintenance: Ensuring that all facilities including Buildings, Equipment, And Systems, are digitally enabled, properly maintained and in good working condition. This includes Managing Repairs, Inspections, and Preventive maintenance activities. Space Management: Optimizing the efficient use of available space within the Org’s facilities. This may involve coordinating Office moves, reconfiguring workspaces and ensuring that the layout matches the employee needs. Vendor Management: The incumbent will collaborate with external vendors, contractors and service providers to ensure a strong delivery of quality services such as Security, Janitorial, Landscaping, Environment and maintenance. The incumbent will be required to develop a deep understanding of the Procurement process at Lilly and comply with it in their dealing with third parties. Health And Safety Compliance: Ensuring compliance with Health and Safety regulations that apply to organization to ensure a safe working environment for employees. This will include conducting regular inspections, implementing safety protocols like fire drills, evacuation drills etc., and managing emergency response procedures. Manage the process for Health check-up for employees and any digital Application solutions that the organization offers for the same. Security And Safety: Implement and maintain security measures to safeguard the facility, employees and assets. Develop and enforce emergency preparedness plans and procedures. Conduct regular safety visits, inspections and coordinate training of such programs for employees. Understand the Defensive driving modules and impart such training programs when in need. The incumbent will also be required to understand and implement BCP procedure. Ensure management of any hazardous waste and maintain records of the same. Budgeting And Cost Control: Developing and manage the Facilities budget (OPEX and CAPEX), monitor expenses, identify opportunity for cost saving without compromise on standard of quality. Project Management: Oversee any facility related projects such as renovation, expansion or relocation. This will include coordination with stakeholders, managing tight timelines and budgets and ensuring successful project management. Event Management and Real Estate Leasing: Responsible for ensuring smooth occurrence of company events in office. Also, responsible for Real Estate lease and agreements. Transport, Expat Management and Relocation Policy : Accountable for planning the logistics for any key stakeholder site visits involving transportation, stay, housekeeping for any townhalls, major events conducted at the site. Additionally, will be responsible for necessary approvals and support employees in cases of geographical relocation in line with the policy. For any LTA or Short term international delegates, will be responsible to partner with HR/appropriate functions for Car lease, House Lease and any other processes. HSE Audits : Will be responsible to prepare and support carrying out any global/site related audit needs for Admin, health, safety, environment and represent the site to adhere to all norms and guidelines. Should maintain required paperwork and documents to have highest levels of compliance. Will also be responsible to drive any learnings and actions from such audits to strive for continuous improvements at the site.
