The Opportunity:
Under limited supervision, assist sales, customer service, proposal, and/or contract administration teams to provide accurate product or service quotes resulting in sales revenue to the organization. Generate and communicate quotes for new and existing customers. Maintain database of all estimates and quotes. May assist in negotiation of pricing and identification of alternatives for special and custom orders.
The Opportunity:
We are seeking an experienced Tender Management candidate to oversee and enhance our tendering process. The ideal candidate will identify opportunities, ensure timely tender submissions, monitor vendor registration, and meet pre-qualification criteria. This role involves preparation and submission of comprehensive bid documents, ensuring compliance, and handling pricing on government portals.
This person shall be the point of contact for all Business Managers (internally) and Customers (external – Govt & Distributors) for any coordination and support required by them.

- Total Experience ranging between 7-12 yrs (Preferred 3 years experience in IVD / Biomedical / Medical Device Industry)
- 5+ years in of rich experience in Bidding Process.
- Excellent communications and written skills.
- Self-motivated with an ability to work on designated Targets for the Governments Sales.
Preferred Skills/Qualifications:
- Proven experience in tender management and bid preparation on both GeM & CPP Portals.
- Strong understanding of government procurement processes and compliance requirements.
- Excellent analytical, organizational, and communication skills.
- Proficiency in relevant software and government portals.
Additional Skills (If Any):
- Good Communication Skills.
- Ability to make MIS reports , MS Office

- Opportunity Identification: Actively seek and identify potential tendering opportunities while ensuring error-free preparation and submission of all bids. New Tender Identification from various sources (Tender tiger, T247 , GeM, Dealers , Business Managers etc.)
- Tender Submission: Monitor the tender submission process to ensure adherence to guidelines and compliance requirements. Tender registration on Tender tool and timely update on all evaluation status online on internal tender management tool
- Bid Document Management: Coordination to ensure all bid submission documents compiled, ensuring completeness and accuracy while adhering to customer timelines. Coordinating with all stakeholders (Internal as well as External like Legal, Regulatory, Financial/Accounts, Delivery, Administration/Operations, Officials of partners, end-clients etc.) for completion of bid deliverables
- Commercial Review: Evaluate the commercial aspects of bids, communicating any changes in requirements promptly and submit representations to Government authority whenever required for change recommendations including neutral specifications for wider participation
- Tender Record Maintenance: Maintain a comprehensive record of all tenders and bids on the Organization shared drive and tracking their outcomes and status w.r.t to various e-procurement portals.
- Market Intelligence: Analyze previous bids, conduct competitor analysis, and develop market intelligence to inform strategic decisions and better pricing strategies.
- Financial Management: Coordinate with the finance department for timely preparation of Earnest Money Deposits (EMD) and Performance Bank Guarantees (PBG) and ensuring timely follow-ups on refunds.
- GeM Management: Continuously monitor & strive to improve the companies Government eMarketplace (GeM) ratings. Coordinate with the GeM when required for new category creations, tender clarifications , BID submission , Catalogue upload etc.
- Supporting team on filing the Rate contracts direct / indirect (via channel partners) and onboarding cum working with channel partner on direct bid deals on service fee model . Active RC / Tender data record maintenance of shared drive.
- Preparing custom Bid Plan and executing plans for regular monitoring of bid deliverables.
- Follow-Up Monitoring: Regularly monitor and follow up on Bank Guarantees (BG) and PBG submissions and Payment and Security Refund collections.
- Vendor Registration: Ensure timely vendor registration on government portals and maintain regular follow-ups related to tendering processes.
- WIN loss analysis cum Competive market trend capture on basis of Quoted / Active tenders in the marketplace.
- Must have experienced in Government E-Market Place, Driving Sales and business opportunities in the form of Government bids and tenders through GEM/ E-Procurement Portal.
- Should be able to update product/service catalogue in GEM portal, Deletion or Updating of New product /Specification/prices.
- Prepare all tender documents in the specific formats related to the bid submit the documents in stipulated time limits on the above-mentioned portals.
- Good knowledge of Government Tender Online & Offline Filling. Should have the knowledge of submission of Bids like Bunch Bid, Reverse Bid, Custom Bid and Normal Bid.
- Coordinate with the respective officials and document the progress of the tender
- Handling a high volume of customer enquiries floated under the GEM portal.
- Successful , timely & flawless order execution (ensuring appropriate shelf life and pre-requisites) before shipment + liaison with Business and Tendering authority to get payment released against the executed orders and ensure end to end Quote to Cash process
- Travel to Government sites across India wherever required considering Business viability & scope of business
Job Specification
- Experience in product uploading, bidding, and pricing on the Govt portal
- Good knowledge of Government E-Marketplace / various state & central public procurement portals.
- Good Technical and Commercial evaluation skills.
- Good Analytical & Negotiation skills.
- Knowledge of the GFR rules and government procurement policies.
