Job Purpose
Technical Assistant plays a pivotal role in supporting the technical team and ensuring the smooth operation of office functions. This position requires an organized and proactive individual who can manage administrative tasks, assist with technical projects, and facilitate communication between departments. Also will be responsible for coordinating meetings, managing documentation, and providing support for various technical initiatives, ultimately contributing to the efficiency and effectiveness of the technical department.
Job Responsibilities:
Administrative Support
Manage daily office operations, ensuring a well-organized work environment.
Schedule and coordinate meetings, including preparation of agendas and materials.
Maintain and organize documentation, project files, and reports.
Assist in the preparation of presentations and technical documents.
Handle incoming communications, including emails and phone calls, and redirect them as necessary.
Project Coordination
Support assigned teams in tracking project timelines and deliverables.
Assist in the coordination of project resources, including scheduling team members.
Monitor project progress and report status updates to the technical team and management.
Organize project kick-off and review meetings, documenting key outcomes and action items.
Communication Facilitation
Act as a liaison between the technical team and other departments to ensure clear communication.
Prepare and distribute internal communications regarding technical updates and initiatives.
Compile and share summaries of technical meetings with relevant stakeholders.
Data Management
Maintain and update databases related to technical projects and resources.
Assist in data entry and management for technical documentation.
Support the technical team in collecting and analyzing data related to project performance.
Budget and Resource Management
Assist in tracking departmental budgets and expenditures.
Help prepare financial reports related to technical projects.
Manage office supplies and procurement for the technical department.
General Office Management
Ensure compliance with office policies and procedures.
Maintain a clean and organized workspace for the technical team.
Assist with special projects and initiatives as assigned by the CTO or other leaders.
Bachelor’s degree in Business Administration or a related field.
Minimum of 3 years of experience in an office management or administrative support role, preferably in a technology.
Basic understanding of technical concepts and terminology related to software development and project management.
Proficient in using office software, including Microsoft Office Suite and project management tools (e.g., Asana, Trello).
Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
Excellent written and verbal communication skills.
Ability to work collaboratively within a team and with cross-functional departments.
Problem-solving skills and a proactive approach to identifying issues and implementing solutions.
Attention to detail and commitment to maintaining high standards in documentation and reporting.
Working Hours: Sunday to Thursday from 10:00 AM to 6:00 PM.
Weekend: Fridays and Saturdays
