Supervisor (Facilities)
Job Description
Set up service providers' plans and maintenance schedules, including maintenance, pest control, cleaning, catering, transportation, scrap, and garbage collection, to define duties and responsibilities, operational KPIs, and ensure efficient facility management on a scheduled and ongoing basis. Source vendors and draft reports to ensure the availability of required services and provide insights on performance as needed. Implement and follow up on operational activities to ensure smooth execution of administrative and facility operations continuously. Supervise administration and facility teams and collect daily and monthly reports to monitor performance, track operations, and ensure compliance with standards. Define minimum and maximum stock levels and ensure stocktaking to maintain inventory control and avoid shortages or overstocking regularly. Manage and cascade budgets to ensure cost-effectiveness in terms of cost and consumption periodically based on financial planning. Maintain an updated database of all vendors providing services to ensure the timely delivery of goods and services continuously. Check invoices and receive goods while comparing them to approved POs to verify accuracy and ensure proper financial and supply chain management upon each transaction. Perform other administrative duties as required to ensure the smooth operation of the building and factory. Follow up on administration and facility requests and complaints to address issues, enhance workplace efficiency, and ensure employee satisfaction as they arise
