Job Title: Operations Specialist – Service Maintenance and Accident Compliance
Job Summary
The Operations Specialist – Service Maintenance and Accident Compliance is responsible for ensuring a seamless customer experience in relation to vehicle service, maintenance, and accident compliance processes. This role requires direct interaction with customers to confirm dealer communication, verify scheduled service or maintenance adherence, and ensure customers receive necessary replacements when eligible. The Operations specialist will act as a critical link between the company, its partners, and customers to maintain operational efficiency and customer satisfaction.
Key Responsibilities:
Customer Coordination
- Proactively contact customers to confirm that dealers have reached out to schedule service or maintenance.
- Verify the accuracy of the scheduled appointments and ensure they align with the agreed timeline.
- Follow up with customers post-scheduled service to confirm that the service or maintenance was completed successfully.
Service and Maintenance Compliance
- Monitor service schedules provided by dealers and ensure adherence to company standards.
- Address any discrepancies or delays by coordinating with dealers and providing updates to customers.
- Maintain detailed records of all service and maintenance interactions in the system for tracking and compliance purposes.
Replacement Management
- Identify customers eligible for replacement vehicles based on company policies.


- Verify that eligible customers have received replacement vehicles and resolve any issues that arise during the process.
- Coordinate with internal teams and dealers to streamline the replacement vehicle allocation process.
Accident Compliance
- Ensure that accident-related services are conducted in accordance with company policies.
- Confirm that customers impacted by accidents receive the required support, including replacement vehicles if eligible.
Reporting and Analysis
- Generate and maintain reports on service, maintenance, and accident compliance metrics.
- Provide feedback to the Operations Manager regarding any recurring issues or process improvement opportunities.
