Position Description

As the face of our office, you'll be the key point of contact for visitors, coordinate events and meetings, and ensure everything runs smoothly behind the scenes. You'll also provide crucial support to the CEO, handling travel arrangements, diary management, and meeting preparation. This role is perfect for someone who thrives on variety and is eager to put their personal stamp on office management.

Key Responsibilities



EA & CEO Support
Serve as the central point of contact for communications to the CEO’s office. Attend weekly management meetings, capturing and distributing action items. Track and follow up on the progress of tasks allocated by the CEO. Organise travel arrangements for the CEO and broader team. Plan and execute Senior Leadership Offsites and events.
General Administration
Provide administrative support to the executive team and various departments. Manage expense processing and oversee the organization of senior management events and conferences. Collaborate with the Finance team to handle property invoicing.
Office Management
Oversee the Reception area, welcoming internal and external visitors. Maintain office safety and security protocols. Manage office supplies, kitchen requirements, and receive deliveries. Keep the Procedures Manual up-to-date.
Building & Maintenance Coordination
Assist with managing external contractors responsible for building maintenance. Coordinate repairs, upgrades, and workspace planning, ensuring Health & Safety standards are met. Handle building requests from tenants and attend monthly property meetings. Manage visitor parking and assist with building evacuations and training.
Employee Engagement
Drive People and Culture events and initiatives, including the Alexandria Engagement Club. Organise Town Halls and other team events. Support onboarding processes for new team members.
Project Management
Support TreadRight® projects and upload regional data into the system. Assist with global projects as needed.

What We're Looking For



Experience in office administration, personal assistant, or secretarial roles. Proficiency in taking, collating, and distributing meeting minutes. Strong event planning and organisational skills. Proven ability to multitask, prioritise, and work efficiently under pressure. Expertise in Microsoft Word, Excel, and PowerPoint. High attention to detail and accuracy. Excellent written and verbal communication skills. A friendly, approachable demeanour with a passion for helping others. Adaptability and a collaborative spirit. A strong focus on exceptional customer service. Above all, a Team Player mindset!
