Job Description
- Oversee daily office operations to ensure efficiency and productivity.
- Manage office supplies inventory and place orders as necessary.
- Coordinate maintenance and repairs for office equipment and facilities.
- Supervise administrative staff and provide support as needed.
- Organize and schedule meetings, appointments, and travel arrangements.
- Maintain office policies and procedures, and ensure compliance with company standards.
- Handle incoming and outgoing correspondence, including mail, emails, and phone calls.
- Facilitate onboarding and training for new employees.
Procurement:
- Develop and implement procurement strategies to ensure cost-effective purchasing.
- Source and evaluate suppliers, negotiate contracts, and manage vendor relationships.
- Prepare and process purchase orders and requisitions for supplies and equipment.
- Monitor and manage inventory levels to prevent shortages or overstock.
- Review and analyze purchase requests and make approval decisions based on company policies.
- Track and report key functional metrics to reduce expenses and improve effectiveness.
- Ensure compliance with procurement policies, procedures, and regulations.
- Collaborate with various departments to determine procurement needs and requirements.
Financial Management:
- Assist in budget preparation and expense management activities.
- Process invoices, ensure timely payments, and reconcile accounts.
- Maintain accurate records of financial transactions related to office management and procurement.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or related field.
- Proven experience in office management and procurement, preferably in a similar role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and negotiation skills.
- Proficiency in Microsoft Office Suite and familiarity with procurement software.
- Ability to work independently and handle confidential information with integrity.
- Strong problem-solving skills and the ability to make sound decisions under pressure.
- Knowledge of procurement best practices and market research.
Preferred Qualifications:
- Certification in procurement (e.g., CPSM, CPPB) is a plus.
- Experience with ERP systems or other procurement and inventory management tools.
- Familiarity with contract law and risk management in procurement.
