Job Title: M&S Team Coordinator


Hiring Manager: Cairo Site Director


Location: Cairo Industrial Site


JOB PURPOSE:
Cairo Site Administration focal point to maintain a strong internal Administration system providing Business Support through implementing organized workflow for the site and ensure its continuous improvement.


Support site Head in preparing site standard Agenda and organization of site events and visits.


KEY RESPONSIBILITIES AND DUTIES:


Business Support


Coordinate workflow, within Cairo site organization. Update, track and follow-up delegated tasks to management committee ensuring progress to deadlines punctuality. Guaranteeing having flexible calendar to support IA business needs. Follow-up with all departments heads the submission of their monthly reports, reviewing and compiling all in one comprehensive report. Receive, screen & optimize communications to the IA head limiting those requiring priority actions or not requiring immediate interference. Check deadlines on incoming requests and put preliminary work in place. Developing and following-up the documentation & archiving system of the office in order to provide an easy access to all information and keeps sensitive material in confidence. Align with security dep. concerning external & internal visitor’s restrictions. Managing travel coordination of the Site team & visitors (Air tickets, Hotels, Dinners, Meet & assist, etc.) Prepare needed business presentations. Handle reservations of meeting rooms & needed requirements. Handling PRs and expense sheets. Contact person with housekeeping staff.


IA Communication Support


Define the internal communication strategy and the useful ways of serving group communication goals aligning with the IA Head & the HRBP. Preparation of Site yearly internal communication budget. Partnering the HR department in developing employee’s communication strategy in engendering ONE SANOFI Culture. Partner HR to regularly carry out studies/surveys among employees to evaluate how SANOFI Cairo site is perceived whether its strategy is understood and to identify new expectations. Communicate with all Site functions to develop internal communication’s plan that keeps all employees informed of site activities. Design, draft, and produce internal articles to the company’s newsletter pointed at IA employees/activities. Cooperate with the communication team to update Sanofi Egypt internal and external websites with any site activity in regular basis. Design, organize, and manage site internal events preparing the event checklist, assigning a team and communicating with the concerned suppliers. Design and produce internal audiovisual productions / events branding in alignment with the communication & IT teams.


HSE Responsibilities:


  • Follow the approved HSE policy and requirements.


  • Implementation of approved waste management system.


  • Following the statutory legislation concerning Health, Safety and environmental law.


  • Lead her department to implement the HSE PASS.


  • Report any accidents/incidents in his/her area to the HSE department.


  • Sharing for HSE inspection program, take the corrective actions for any violations in her area.


  • Control the first aid kits in his/her area.


  • Leading his/her team for control the significant hazards and aspects.


HSE Responsibilities in case joining HSE Excellence team:


  • Facilitate and guide the employees to implement the HSE&En. Policies.


  • Implement all applicable standards and guides of Sanofi-Aventis in his/her area.


  • Ensure from complying with all legal and Sanofi-Aventis requirements.


  • Lead his/her team to implement the HSE & EnMS PASS.


  • Train his/her team on HSE & EnMS procedures, SOP’s and MSDS.


  • Report any accidents/incidents in his/her area to the HSE department.


  • Lead his/her team for investigate accidents/incidents to define the root cause.


  • Support the area manager for takes the corrective and preventive actions to eliminate reoccurrence of any Environmental or Energy nonconformance.


  • Support the area manager for takes the corrective and preventive actions to eliminate reoccurrence of any accident/incident.


  • Sharing for HSE / EnMS inspection program, take the corrective actions for any violations in his/her area.


  • Lead the team of his/her area for doing full risk assessment and Environmental aspects studies.


  • Define and control the required PPE’s for his/her area.


  • Define the list of CMR and its operational control for Quality labs and production areas.


  • Control the first aid kits in his/her area.


  • Leading his/her team for control the significant hazards /aspects and Energy use.


Others:


  • Perform other duties as assigned.


  • Respect of company’s values, code of ethics and social charter.


  • Respect of personal data protection charter.


  • Responsible for applying the HSE related requirements for the company in all related working procedures.


About You


Education:Suitable bachelor’s degree
Related Experience:+ 8 years' experience preferred in the pharmaceutical industry
Special Knowledge/Skills:
Good communication & Presentation skills.
Report writing skills.
Ability to co-ordinate several inter-departmental activities.
Good command of MS Word, Excel & Power Point.
Excellent command of English language.
Microsoft Office & Internet Research Skills.
Critical thinking & problem solving.
Experience with events planning & travel coordination.
Confidentiality and discretion on all matters.
Organization, planning, punctuality and respecting deadlines.
Capacity to follow different issues at the same time.
Compile data & conceptualize material.
