Specific Responsibilities
HR Immigration Coordinator for Apache Egypt will be a member of Apache’s Global Mobility team under the Human Resources function at the company’s Cairo, Egypt office reporting to the HR Global Mobility Manager.
This role will be primarily responsible for the following:
- Gather and organize copies of expatriate and family travel documents, including passports, work permits, and visas and must coordinate between travel and security departments where needed;
- Act as the delegated company representative working closely with the Egyptian General Petroleum Corporation (EGPC) related to the company's joint venture, Khalda Petroleum Company (KPC), on expatriates’ affairs including work permit and visa documents;
- Prepare and submit the necessary letters and documents to the EGPC Labor Office and the Ministry of Manpower regarding the issuance and renewals of expatriate work permits;
- Arrange HIV tests for our expatriate staff, followed by the collection of results for submission to the relevant authorities;
- Responsible for managing petty cash funds to facilitate the necessary payments for the issuance and renewal of work permissions and residence for expatriates to the related authorities and ensure the completion of cash settlements including detailed tracking of expenditures and requests to replenish funds when necessary, in accordance with company policies;
- Arrange the necessary planning for the visits of expatriates and their families to the immigration authority;
- Prepare and submit the necessary documents to the immigration authorities for the issuance and renewal of residency visas for expatriates and their families;
- Finalize the needed translation of marriage certificates for expatriates, as well as the birth certificates of their children and facilitate a smooth integration process for these family's residency cards;
- Follow up on the status of the passports and residency cards collection and return process for expatriates and their families, as well as for our joint ventures;
- Handle expats driving license issuance with the related authorities.
- Hold responsibility for maintaining accurate and accessible documentation, proper filing of expat affairs matters, ensuring that both the original work permits, and digital records are meticulously organized; and
- Perform any additional HR and administrative duties or missions as assigned.
Qualifications & Experience The successful candidate will have the following qualifications and experience:
- English proficiency of both verbal and written.
- 1 year of experience working for and/or with oil & gas companies that have joint venture operations in Egypt;
- Proficient in Microsoft Office - Word, Excel, Outlook.
- Ability to manage petty cash funds and tracking of disbursements
- Ability to handle sensitive information and records
- Excellent communication and interpersonal skills
- Experience executing assignments and tasks independently, with minimal supervision.
