Administrative Assistant (Financial Services Background)Administrative Assistant (Financial Services Background) Full time Egypt Career Level Experienced - Non Manager Experience 3 Years Gender MaleFemale Industry Administration Qualifications Degree Bachelor Job DetailJob DescriptionEgyBell is hiring Administrative Assistant (Financial Services background) for a multinational financial organization.Main Responsibilities:Office Management: Diary management, meetings arrangements and maintaining general filing systems for correspondence and documentation. Assist in worldwide travel arrangements, visa letter requests and compiled itineraries and reconciliation of expenses via SAP Concur. Processing incoming and outgoing mail, assisting in the planning and preparations for meetings including coordinating travel requirements. Typing, filing, proofreading, data-entry, receiving phone calls and relaying messages. Receiving visitors, managing contacts and correspondence internally between departments and with external stakeholders. Maintain the general filing system for the correspondence and documentation. Receiving all incoming invoices and related documents, registering them including all the supporting papers (e.g. original invoice, purchase order, approvals, …etc). Manage all planned and ad hoc department events from an administration perspective. Prepare meetings on Convene, Teams & Zoom and upload related documents. Purchasing office supplies and equipment and maintaining proper stock levels.Functional/Technical: In coordination with the team members, assist in the preparation of the monthly report, board report and ad hoc reports. Update the insurance report on a monthly basis. Prepare presentations, flyers, … etc. as maybe required. Monitor any deadlines for internal reporting and provide high end quality support to team members. Keep track of the department’s Scorecard. Prepare and update the monthly Scorecard performance tracker report with the team members. Coordinate and engage with internal stakeholders. Any other responsibilities as assigned by the departmental head. Coordinate SYRD’s marketing activities, such as, workshops, seminars, roadshows etc. Responsible for records management. Responsible for keeping a track record of all NDAs with external stakeholders.Compliance Responsibilities: Understand and adhere to the Bank’s AML, Regulatory and Conduct Compliance policies and procedures.Proliferation Financing– Conflicts of Interest and Policies on Staff Involvement in External Engagements/Activities– Anti-Bribery & Corruption– Insider Trading GuidelinesQualifications: A relevant bachelor’s degree. A minimum of 3 years working experience in a similar role, preferably in the financial services industry. Excellent English level (spoken & written). Excellent MS Word and Outlook skills and good working knowledge of Powerpoint and Excel. Very good leadership and problem-solving skills.Required skills
