Position: Administration Coordinator


Location: Al Dokki , Giza  (Office-Based, Supporting UAE Operations)


Position Purpose 


The Administration Coordinator will play a key role in managing and overseeing the insurance co-payment reconciliation process, ensuring accuracy, compliance, and timely processing. The role will support the pharmacy and distributor reconciliation teams on a monthly basis while also assisting with administrative and operational tasks for the UAE team. Additionally, the Administration Coordinator will provide regional support to GCC teams when needed, ensuring smooth coordination and communication.


Duties and Responsibilities 


Patient Management 


  • Assist the Operations Leader in managing drug access programs by coordinating with hospitals, pharmacies, and patients. 
  • Ensure timely enrollment of eligible patients and smooth medication delivery. 
  • Maintain and update electronic program files, tracking patient progress in real time. 
  • Prepare monthly patient and logistics reports, plus quarterly quality assurance reports. 
  • Complete Pharmacovigilance and product training, ensuring proper safety data collection and reporting. 
  • Report adverse events and product complaints as required. 
  • Utilize Axios’ Patient Management System (PMS) for all program activities. 

Co-Payment Reconciliation 


  • Manage and oversee the co-payment reconciliation process, ensuring timely and accurate processing of payments. 
  • Collaborate with finance teams and pharmacies to validate voucher reimbursement of co-payments. 
  • Ensure proper documentation of all reconciliation activities, maintaining compliance with internal policies and industry regulations. 
  • Address discrepancies and resolve any issues related to voucher reimbursement of co-payments. 
  • Generate periodic reconciliation reports for internal review. 

Pharmacy & Distributor Reconciliation Support 


  • Support the pharmacy and distributor FOC reconciliation teams on a monthly basis by assisting with pharmacy and distributor visits. 
  • Coordinate with internal teams and external partners to streamline the reconciliation process. 
  • Assist in resolving reconciliation discrepancies between Axios and pharmacies. 

Administrative & Operational Support 


  • Assist the UAE team with daily operational and administrative tasks, ensuring smooth workflow. 
  • Provide administrative support for PSP/PAP-related processes when required. 
  • Maintain accurate records of administrative activities, ensuring accessibility and compliance with Axios policies. 
  • Support GCC regional teams when required, ensuring effective communication and coordination across multiple offices. 

Compliance & Documentation Assistance 


  • Support document management processes, ensuring compliance with internal policies and regulatory requirements. 
  • Assist in audits and inspections by preparing necessary documentation and reports. 
  • Maintain confidentiality and security of sensitive information, particularly related to financial and patient records. 

Relationships 


  • Work closely with Axios regional/global teams to manage reconciliation tasks efficiently. 
  • Collaborate with finance, insurance, and pharmacy reconciliation teams to ensure smooth operations. 
  • Maintain communication with internal regional teams to provide administrative support as needed. 

Special Skills and Knowledge 


  • Strong understanding of insurance co-payment processes and financial reconciliation. 
  • Knowledge of Egypt, UAE, KSA, Oman, Qatar, and Kuwait healthcare system, insurance policies, and reconciliation procedures. 
  • Detail-oriented with excellent problem-solving and analytical skills. 
  • Strong organizational and coordination abilities, with the ability to multitask effectively. 
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and data management tools. 
  • Strong communication skills in both Arabic and English.

Educational Background and Experience 


  • Bachelor’s degree in Business Administration, Healthcare Management, or a related field. 
  • 2+ years of experience in administrative roles, preferably in the healthcare, pharmaceutical, or insurance sector. 
  • Experience in financial reconciliation, insurance claims processing, or pharmacy operations is a plus. 

Job Circumstances 


  • The position is based in Egypt, with flexibility to support regional teams when required. 
  • Occasional travel may be required for meetings with partners, pharmacies, and insurance providers. 
  • Flexibility in working hours to accommodate regional operational needs is essential.
